For home care agency owners

Missed call text back for home care agencies.

You're in a client's kitchen and your phone rings. You can't pick up. A missed call text back is a short text to that caller so the family hears from you before they try the next agency. This page covers how it works, what the text should say,, the carrier approval step that comes first, and how my app handles it.

The short version

  • A missed call text back is a short message to someone whose call you didn't answer. It says you saw the call and gives them one next step.
  • You can send one yourself, from your own phone, today. A sample you can copy is below.
  • Sending it automatically from a business number needs the phone carriers to approve the registration (it's called A2P 10DLC), once per business.
  • In my app, the text back goes out from your number on its own, with a link to book. It switches on once the phone carriers approve texting for your number.

What a missed call text back is, and how it works

The idea is simple. A family calls your agency and nobody answers. A moment later their phone shows a text from the same number: sorry we missed you, here's when we'll call, here's a way to pick a time. They know they weren't ignored.

Four things happen:

  1. A family calls your business number.
  2. Nobody picks up, because you're with a client, driving, or it's after hours.
  3. A text goes back to that number, from your number, saying who you are and what happens next.
  4. The family replies, books, or waits for your call. You pick it up when you're free.

Step 3 can be you with your thumb, after the visit, or software sending it for you. The second needs the carrier registration further down. The first needs nothing.

Why it matters when you're on a visit

An owner's phone rings at the worst times: mid-bath, mid-medication, in the middle of a hard talk with a client's daughter. You do the right thing and don't answer. The family on the other end doesn't know that. They only know nobody answered.

The faster you reply, the less time they have to second-guess and call somewhere else. That's the whole reason I care about this. A text that says "I'm with a client, I'll call you at 2" turns a missed call into a promise.

The best evidence I've found on speed is a Harvard Business Review article from 2011, “The Short Life of Online Sales Leads”. It reports a study of 1.25 million sales leads at 29 B2C and 13 B2B companies in the US. Firms that tried to contact a lead within an hour of receiving the query were nearly seven times as likely to qualify it as firms that tried even an hour later. The authors defined “qualify” as having a meaningful conversation with a key decision maker.

Those were online leads, not phone calls, and not home care. I'm not saying your numbers will look like theirs. I'm saying the direction matches what I'd expect from a family.

For the calls themselves, Invoca, a company that tracks business phone calls, published a 2026 benchmark built on 70 million calls to its customers. Across all industries, 56% of callers reached a person. That's an average across Invoca's customers, who aren't home care agencies, so it isn't your number. It does show that a lot of callers don't get anyone on the line.

What a good missed call text says

Here is one you can copy. Change the brackets.

Sample textHi, this is [your name] at [agency name]. Sorry I missed your call, I'm with a client right now. I'll call you back by [time]. If it's easier, you can pick a time here: [your booking link]. Reply STOP to opt out.

Why each part is there:

  • Who you are, first. A number they don't recognise is easy to ignore.
  • Why you missed it. "With a client" is true and it's a reason a family respects.
  • A real time. "By 2pm" beats "soon". Only write a time you will keep.
  • One link. Skip the link if you don't have a booking page. A text that just says when you'll call still works.
  • The opt-out line. Automatic texts need it. If you're typing it yourself you can drop it.

Leave out anything about their health or the person they're caring for. That's for the call. And it isn't an ad: it's a reply to someone who just called you.

How to text back a missed call, today, without software

  1. Check who called and whether they left a voicemail.
  2. Send the short text above from your own phone.
  3. Add one way to book, or let them reply to the text.
  4. Call when you said you would. Ask about their situation before you talk about your services. The call script has the words.

The carrier registration step, in plain words

This is the part nobody mentions until it holds up a launch. In the US, the phone carriers have a rule for texts that are sent by an application over a regular 10-digit number, which is what a business number usually is. It's called A2P 10DLC, short for application-to-person, 10-digit long code. According to Twilio's guide to it, anyone sending texts that way has to register, and that includes small businesses.

There are two parts:

  • The brand. Who is sending the texts, so the carriers know you're a real business.
  • The campaign. What the texts are for, how people opt in and out, and how they get help. For a missed-call text, that's a short description and a couple of sample messages like the one above.

The carriers review the campaign, and the same guide says a campaign can be rejected on review. It's per business, so an agency's registration is its own. It isn't something I can do once and spread across clients.

I can't tell you how long approval takes. The guide gives no timeline, so I don't quote one. It can take a while, and it's out of my hands. What I can do is ask for the registration details at onboarding, so the carrier review runs while I build the rest.

How the Next Loop app handles a missed call

Here's what happens when a family calls your website number and nobody picks up:

  1. Your website number rings your phone.
  2. Nobody picks up? They hear your greeting and can leave a message.
  3. The lead lands in your app at New, with the voicemail and every word of it written out.
  4. Every phone signed in to your app buzzes.
  5. The caller gets a text back from your number, with a link to book.
  6. When they book, the same lead moves to Booked.

The text back switches on once the phone carriers approve texting for your number. That approval is the only part I don't control, so I start the registration at onboarding and the review runs while I set up the rest.

For leads from your website form, the app drafts a first text in your voice. You read it, change it if you want, and tap to send it.

On price, the call side is in the Foundation Plan, with setup waived for founding agencies. The website number is a small one-time extra, then the number and its minutes at cost. The text back belongs to the Growth Accelerator. Your monthly fee is set on the call from your own numbers, in writing, before anything starts, and never by the hour. App plans have a three-month minimum, then month to month with 30 days' notice. Live within 14 days of getting what I need from you, with one training call. If it isn't, your first month is free. The full list is on the pricing section of my homepage.

Missed call text back calculator: what are the calls you miss worth?

This works from your numbers only. Use your own last two or three months. I don't know your market, so nothing here is pre-filled with an average.

Not yetfamilies a month you never get to speak to
Not yetclients a month those families would be, at your own rate

Families you never speak to = missed calls × share that never call back. Clients at your rate = that number × share of reached families that become clients. Multiply by 12 for a year. This is what those families are worth at your own close rate, not what a text back would win. Nothing you type is saved or sent anywhere.

If the first number surprises you, the question to ask isn't whether you need new software. It's what the family heard after nobody picked up.

Questions owners ask

What is missed call text back?

It is a short text sent to someone whose call you did not answer. It says you saw the call and gives them one next step, such as when you will call or a link to book. It can be sent by you from your own phone, or sent automatically by software from your business number.

How do I text back a missed call?

Send a short text that says who you are, that you are sorry you missed the call and why, and the time you will call back. Add one way to book if you have one. Keep the time you gave. The sample on this page is written to be copied.

Do I need missed call text back software?

To start, no. A clear voicemail greeting and a text from your own phone after the visit is a fair first step. For a text to go out automatically from your business number the moment a call is missed, something has to send it, and the number has to be registered with the phone carriers first.

Does Next Loop Co. text missed callers back?

Yes, once the phone carriers approve texting for your number. When a call to your website number goes unanswered, the caller hears your greeting and can leave a message, the lead lands in the app at New with the voicemail written out, every phone signed in to the app buzzes, and the caller gets a text back from your number with a link to book. When they book, the same lead moves to Booked. I start the carrier registration at onboarding so the review runs while I set up the rest.

What is A2P 10DLC?

It is the registration US phone carriers require from anyone sending texts from an application over a regular 10-digit number. You register who is sending (the brand) and what the texts are, how people opt in and out, and how they get help (the campaign). The carriers review it and can reject a campaign.

How long does carrier approval take?

I do not have a number I can stand behind. The carrier registration guide I read gives no timeline, so I do not quote one. It can take a while. That is why I ask for the registration details at onboarding, so the review runs while I build the rest.

What should a missed call text not say?

Do not ask for health details by text, keep that for the call. Do not promise a callback time you cannot keep. Do not turn it into an advertisement. It is a reply to a family who just called you.

If you only do one thing from this page, write your own version of the sample text and put it in your phone's notes.

Then put the call script by the phone, so the call you return goes the way you want it to. If you'd like to see where calls and families fall through for you now, I do a 15-minute workflow review. No pitch deck.
